Subject: [ACL-2010] [Proceedings] Workshop-Specific Information and Adaptation to A4 Paper Size Date: 2010/5/18 12:39 PM Dear book chairs of workshops and co-events, Most of the workshops had the camera-ready date closed. Therefore, you are going to compile your proceedings using ACLPUB immediately. For those who have very late camera-ready dates (June 2, ... for example.) You are urged to practice earlier. This year, we have the original ACLPUB and ACLPUB@START available. You should probably use the one that is most familiar to you due to the tight schedule to send the publication committee your compiled proceedings by June 13. You are also kindly requested to send a version of the program schedule information to the local committee (as soon as program schedule is stablized and without waiting for the the proceedings to be fully compiled) by June 9 (early test) and June 16 (final). I have setup a simple homepage for all publication instructions and data that you might need, just in case you have missed any message. If you find anything out -dated or unclear, please let me know. You may have some routine works to edit the templates of the ACLPUB package (wheather the original or START version, since they almost mirror each other.) For instance, conference title, proceedings booktitle, hosting university, city, date, ISBN, publisher address, your URL, your chairs personal data, citation stamps, and even the copyright year. For this reason, I have customized most of the workshop-specific information into the templates so most of you only need to download them and replace your raw installation with the customized templates, CDROM meta, some bin/* fixes for your current working environment. In particular, I had tailored a special version of the ACLPUB for the A4 paper size used this year. the paper size is a major problem for getting weird-look proceedings when you used the official ACLPUB, which is tailored for Letter size papers, and for some 2008 conference. Such customized data should unify the whole style of the proceedings so every workshop proceedings will look similar. The A4 version is available from the LHS menu of the above publication home with the URL: http://nlp.csie.ncnu.edu.tw/~shin/acl2010/publication/tools/aclpub/aclpub+a4+acl2010.tgz . A latest official ACLPUB is also there if you want to diff them for what have been customized or changed: http://nlp.csie.ncnu.edu.tw/~shin/acl2010/publication/tools/aclpub/aclpub+letter.official.tgz . You should choose the 'titlepage.tex', 'copyright.tex', 'citation-stamp.tex' for your specific workshop from the customized data under the 10+ templates/local/wks.2010/ws??/ directories. CoNLL and CoNLL Shared Tasks, SRW, Tutorials, Demos and main proceedings are also included. (ISBN of CoNLL-ST is under registration ...) You don't need to edit them, and it is also not encouraged since the data there are mostly official, and your proceedings may look very different from others if significant changes are made. But you should check every pieces of data to ensure their "correctness". We had did our best to acquire your specific data from the web but we may make mistakes. There is also a 'meta' file which will decide the profile of your CDROM image and the contents of the 3 HTML index pages. In particular, you should check your chairs information carefully. We only have their names from the official ACL-2010 website. You can also include more chairs that you want to acknowledge so their names and affiliations appear on the index pages. Some of the bin/* scripts had also been modified a little last year for resolving a few problems. If you are comfortable with the original ACLPUB running on your linux boxes, you can directly use this version for ACL-2010 to save you lots of manual editing cost. If you are trying the ACLPUB@START this year, you can also replace the A4 templates (mostly under the templates/acl2010 directory) with this specialized version. We had provided an earlier unclean version to the SoftConf/START, so most scripts and conference-wide templates should already be customized. The above 4 files, however, had not been distributed. So I am CCing this email to SoftConf supporters to populate them to your START console. If anything unexpected is found, please let us know as soon as possible. Finally, some quick reminders to help you compile the proceedings easily: 1. Check whether the source PDF is in A4. If not ask the authors to send you an update immediately. (Use pdfinfo or other command if you are running on linux. START will automatically detect the paper sizes and provide you the page size information. 2. Check if the PDF's under cdrom image are also in A4 size. If not some of the the templates (book.tex, cd.tex.head) used for generating the CDROM pdf's may not be tailored for A4 size. 3. Be sure the number of pages is each paper's metadata file is consistent with the real length. Or you will get wrong page numbers in your proceedings. 4.
